We are currently seeking a skilled and professional Front Desk Executive to be the first point of contact for visitors, patients, and staff, contributing to the smooth operation of our hospital.

Job Description: As a Front Desk Executive, you will be responsible for managing the front office operations, ensuring a positive and welcoming experience for patients and visitors. You will coordinate patient appointments, answer queries, and assist in the smooth functioning of administrative tasks. Your role will be critical in maintaining the hospital’s reputation for excellent customer service and efficient operations.

Key Responsibilities:

  • Greet patients, visitors, and staff in a friendly and professional manner.
  • Answer phone calls, address inquiries, and provide information regarding hospital services, appointments, and procedures.
  • Schedule and manage patient appointments, ensuring accurate records and efficient use of time slots.
  • Coordinate with other hospital departments to assist patients with necessary paperwork, registrations, and billing.
  • Maintain patient data and ensure accurate entry of information into the hospital’s database.
  • Handle patient check-ins, provide necessary forms, and direct them to the appropriate department.
  • Manage incoming and outgoing correspondence, such as emails, faxes, and postal mail.
  • Ensure the front desk area is clean, organized, and well-stocked with necessary materials.
  • Address and resolve patient complaints or concerns in a timely and courteous manner.
  • Assist in administrative tasks as needed, including filing, data entry, and document management.
  • Ensure patient confidentiality and follow all hospital policies and procedures.

Qualifications:

  • High school diploma or equivalent; further education in administration or healthcare-related fields is a plus.
  • Proven experience as a front desk executive, receptionist, or in a customer service role (preferably in a healthcare setting).
  • Excellent communication, interpersonal, and organizational skills.
  • Proficient in MS Office (Word, Excel, Outlook) and familiarity with hospital management software is an advantage.
  • Ability to multitask and handle a fast-paced environment.
  • Strong attention to detail and ability to maintain patient confidentiality.
  • Positive attitude and ability to handle patient queries with empathy and professionalism.
  • Female candidates preferred for this position due to the nature of the role and patient interactions.
